Taking the Bay Area and NYC by storm in Q1, our event management team managed VIP dinners, mixers, and a conference focused on AI in Healthcare. We enjoyed hosting at unique, new venues in these months—a jazz auditorium, science museum, co-working space, and restaurants known for high-caliber cooking.
Q1 Highlights:
We flexed our speaker management muscles and coached session moderators and emcees before they hit the stage at a recent March event. We conducted 1:1 rehearsals with each moderator and emcee to review their planned content, timings, and onsite logistics. We coached each person on the best practices for prep and stage presence. We drew on a recent conversation about ‘speaking powerfully’ in your storytelling.
Among our scopes of work this quarter were venue and vendor management, stage design, attendee communication, registration, F&B management, onsite, project and budget management.
#ProudMoment: when an impromptu request came in to book a shuttle for 200 event attendees, we made it happen and folks were on their way within the hour!
Something not on our bingo card for Q1? How competitive it got at the swag tables when conference attendees opened up trading for take-home Lego sets. But did they share them with their kids? We may never know…
Registration submitted: we RSVP’d Yes! this quarter to a Michelin-star restaurant showcase, a MarTech conference, several site visits, and even a Golden State Warriors Sneaker Soiree at the Chase Center! We love taking the time to be onsite at events we haven’t been involved in - always learning, engaging, and feeling inspired!
We’ve been hard at work in Q1. Here are a few industry developments and trends we took notice of:
The rise of unique event venues is a defining Q1 trend, as companies move beyond traditional conference spaces to create more immersive experiences. From private art galleries to historical buildings to jazz centers, these unconventional settings help set the tone for creativity, exclusivity, and engagement. Event planners are increasingly selecting venues that align with brand identity and audience preferences, ensuring that the space itself becomes part of the storytelling. The venue choice plays a crucial role in shaping the attendee experience. As expectations for corporate events continue to evolve, unique and thoughtfully chosen spaces are proving to be a powerful way to captivate guests and leave a lasting impression.
Companies are increasingly recognizing the value of micro events, leveraging their intimate nature to foster deeper connections and more targeted engagement. Unlike large-scale conferences, these smaller gatherings allow for highly curated guest lists, ensuring that attendees share common interests and goals. Our clients in the VC, cyberdata, and healthcare spaces are embracing this approach, hosting exclusive roundtables, invite-only dinners, and niche networking sessions. By prioritizing quality over quantity, micro events facilitate meaningful conversations, strengthen relationships, and create an environment where participants feel valued - leading to stronger community ties and lasting brand connections.
Client content strategy is also evolving, with organizations placing greater emphasis on maximizing the longevity of event content. Rather than treating event discussions as one-time engagements, companies are repurposing key insights across multiple channels—turning panel conversations into evergreen blog posts, social media snippets, and on-demand video series. This approach extends the impact of an event well beyond its original date, ensuring that valuable discussions continue to reach new audiences. By building a content pipeline that leverages event takeaways, companies can enhance thought leadership, nurture relationships with attendees, and create ongoing engagement.
Who’s counting? A few quick stats to call out from this past quarter:
513 attendees showed up to our Q1 events (and yes, we remember all of their names)
4,268 miles flown to be onsite
52,600 steps taken onsite
30 venues reviewed for future dinners and mixer venues
315 Lego sets purchased and enjoyed by attendees
In Q2, we’re looking forward to seeing our concepts and strategies brought to life at events in Toronto, DC, NYC, Bay Area and virtually as well.
