SaaStr is the largest global community for business software. Every year, they host SaaStr Annual and bring together 15,000 SaaS executives, founders, and VCs. Following SaaStr Annual 2023, SaaStr took their top partners and supporters on a weekend getaway in Napa to continue the fun and foster casual connections amongst the community. cred’s event management team began working with SaaStr in 2018 supporting content management and curating the SaaStr experience for all speakers and VIPs attendees.  


event goals.

The goal of SaaStr Napa was to bring together SaaStr’s premier speakers and partners for a weekend of relaxation, fun, and networking- all amidst the beautiful backdrop of Napa Valley. This two-and-half day getaway curated more intimate environments for executives and VC to connect in small groups and build connections. 



how we worked with SaaStr.

  • venue & vendor sourcing & coordination: cred secured all of the venues and vendors for the full weekend’s itinerary. Our team booked and coordinated two hotel blocks for 50 attendees, working closely and effectively with hotel teams to ensure seamless arrangements. We sourced venues and curated menus for two multi-course dinners. Additionally, we arranged for 2 winery visits with engaging onsite activities like grape stomping, honey tastings, and wine blending, hot air balloon rides, and transportation. Throughout the planning process, we tracked vendor expenses, facilitated payments, and managed the budget.

  • attendee communication & coordination: Given the VIP audience and high caliber of all  participants, we collaborated closely with the SaaStr team to deploy personal invitations to every guest. We developed a high-touch attendee communications calendar to create and deploy attendee messaging and important logistics ensuring that every RSVP had a white glove experience from pre-event registration to their departure for the airport. This included coordinating transportation, accommodations, dietary requirements, + 1 information, and ensuring all collected details were shared with the venue and vendors. We also served as the main point of contact to facilitate any attendee request, travel changes, and cancellations, and collaborated closely with the SaaStr team to vet replacement suggestions. 

  • onsite management: In Napa, our team developed and executed a full run-of-show for all elements.  We greeted and directed guests to activities, distributed gifts, and ensured everyone’s preferences were accommodated. We collaborated closely with all vendors to ensure all contracted elements were executed as expected and on time.
